**Location:** **Syria Office - Aleppo**

**POSITION SUMMARY:**

The Programs Coordinator plays a crucial strategic and operational role within the team, establishing structured project management processes, standardizing tools, and driving overall project quality.

This position serves as a vital bridge between the Head of Programs, Program Coordinator and the Project Managers. The primary focus is to oversee and follow up on project implementation, ensure compliance with established project management standards through ongoing mentorship, and review and approve project plans. The ideal candidate brings rich field experience in project implementation, exceptional communication skills, and a dedication to fostering collaborative growth while actively managing and leading the project management team.

**Duties and Responsibilities**

**1. Project Implementation Follow-up & Oversight**

- **Progress Tracking:** Closely monitor and follow up on the day-to-day implementation of active projects across Syria to ensure timelines and deliverables are met.
- **Plan Review & Approval:** Collaboratively discuss, review, and formally approve project plans developed by Project Managers; ensure they are realistic, robust, and aligned with organizational goals.
- **Risk & Bottleneck Identification:** Proactively identify implementation delays or challenges and work closely with Project Managers to find corrective solutions.

**2. Best Practices & Mentorship (The Linkage Role)**

- **Methodology Alignment:** Ensure that all Project Managers understand and practically apply proven project management methodologies throughout the project life cycle.
- **Side-by-Side Mentorship:** Act as a dedicated mentor to Project Managers by co-piloting complex tasks and collaborating in real-time. Cultivate an environment of observational learning, guiding them through live challenges through direct, hands-on support rather than conducting formal, classroom-style training.
- **Bridging Communication:** Serve as the technical and operational link between Project Managers and the Head of Programs, ensuring clear, transparent, and streamlined reporting.

**3. Operational Management & Supervision**

- **Management & Oversight:** Act as the direct line manager for the Project Managers, taking responsibility for their day-to-day coordination, supervision, and tracking support.
- **Technical Collaboration:** Maintain a clear operational structure where the Head of Programs provides overarching technical support and higher-level oversight, while the Programs Coordinator drives daily execution and operational management.
- **Quality Assurance:** Act as a safeguard for project quality, ensuring documentation, tracking tools, and implementation strategies meet high standards before final escalation.

**Note:** The above responsibilities are illustrative and not exhaustive. Additional tasks may be assigned based on organizational needs and evolving program requirements.

## **Required Qualifications & Experience**

❖Education: Advanced degree in related field or equivalent.
❖ Experience: 05 years experience in project implementation, preferably within the humanitarian or development sector in Syria.

**❖Technical Knowledge:** Deep understanding of project management principles. PMD Pro 1 certification is essential, while a PMD Pro 2 certification is considered a strong added value.

**❖ Approach:** Proven experience in coaching and capacity building through practical, on-the-job guidance and peer-to-peer mentoring, rather than top-down training.

**❖ Communication & Language:** Exceptional interpersonal and communication skills, with a proven ability to manage complex relationships and effectively bridge different management tiers. A strong level of English proficiency is preferable and considered an added value.

**❖ Attributes:** Highly dedicated, solution-oriented, organized, and capable of navigating complex operational environments.
❖ Languages: Fluency in English & Arabic is required
❖ Experience working in emergency settings.

**Skills & Competencies:**

Able to work effectively in a highly matrixed structure.
Strong financial management and budgeting skills.
Excellent training and coaching ability.
Ability to travel to remote field offices.
Experience working in emergency settings.
Resilient, organized, hard-working, with a positive attitude.
